TranscribeFlow ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we handle information when you use our macOS dictation application ("the Software"). We believe in minimal data collection — we only process what's absolutely necessary to provide our service.
2. Information We Don't Collect
TranscribeFlow is designed with privacy as a core principle. We do NOT:
- Collect, store, or transmit your dictations or transcriptions
- Record or retain any audio from your microphone
- Access or store your API keys on our servers
- Collect personal information or require user accounts
- Use analytics or tracking within the application
- Share any data with third parties
3. BYOK Model: How It Works
TranscribeFlow uses a Bring Your Own Key (BYOK) model, meaning:
- Your Keys, Your Control: You provide your own API keys from Deepgram and Google Gemini
- Direct Connection: Audio and text are sent directly from your device to these services
- No Middleman: TranscribeFlow never sees, stores, or proxies your data
- Secure Storage: Your API keys are stored locally in macOS Keychain, Apple's secure credential storage
4. Third-Party Services
When you use TranscribeFlow, your audio and text are processed by third-party services that you configure:
Deepgram
Processes audio for speech-to-text transcription. Audio is sent directly from your device to Deepgram's servers using your API key.

Processes text for AI-powered grammar correction and formatting. Text is sent directly from your device to Google's servers using your API key.

5. Local Storage
TranscribeFlow stores the following data locally on your device:
- API Keys: Stored securely in macOS Keychain (encrypted by macOS)
- App Preferences: Your settings like hotkeys, presets, and UI preferences
- Custom Vocabulary: Words and terms you add for better transcription accuracy
All local data remains on your device and is never transmitted to us.
6. Website Analytics
Our website (transcribeflow.app) uses Google Analytics and Google Tag Manager to understand how visitors use the site. This is separate from the TranscribeFlow application, which contains no analytics or tracking.
7. Children's Privacy
TranscribeFlow is not directed to children under 13. We do not knowingly collect information from children. Since we don't collect personal information at all, this is not a practical concern.
8. Data Security
We prioritize security through our privacy-first design. Since we don't collect or store your data on our servers, there is no central database to breach. Your API keys are protected by macOS Keychain's hardware-backed encryption. All communications with third-party APIs use TLS/HTTPS encryption.
9. Your Rights
Since we don't collect personal data, traditional data rights (access, correction, deletion) don't apply to us. However:
- You can delete the app and all local data at any time
- You can revoke API keys from Deepgram and Google at any time
- You control your data relationship with third-party services directly
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by updating the "Last updated" date. Continued use of the Software after changes constitutes acceptance of the updated policy.
